Tomik + Partner improves collaboration with clients with digital tools

Many entrepreneurs find working with their tax advisor time-consuming, file-heavy and technically backward. No wonder that topics such as payroll accounting or financial accounting are therefore not exactly among the favorite topics of many entrepreneurs.

This is different for the clients of Tomik + Partner. In order to make the cooperation as efficient and pleasant as possible, the firm has come up with a number of ideas.

Michael Fortmann – partner, tax consultant and auditor at Tomik + Partner – tells us in an interview what clients can look forward to in the cooperation today and in the future.

Mr. Fortmann, digitization is one of your favorite topics at your law firm. Tomik + Partner is very digitally oriented, and not just since the corona pandemic. What prompted you to do this?

In our firm, we have always strived to become better and better and to offer our clients the greatest possible comfort in working with us.

Process optimization is the keyword, which has become an important driver of our digitalization.  

In many companies, everyday work is now exclusively digital. However, there is still one topic that often lives in the shadows: accounting and everything associated with it. It still has far too many negative connotations, with stacks of files and colleagues almost buried under them. We wanted to change that.

Another important issue for us is the avoidance of paper.

To realize all of this, we set ourselves up professionally with individual tools.

Which tools are you talking about?

With a great deal of development work, we have created firm-specific tools for working with our clients. These are T+P SafeTransfer and T+P DokSafe.

With our T+P SafeTransfer our clients can provide us with their sensitive documents digitally. After transfer of the data by us, they are deleted.

With our T+ P DokSafe, we provide our clients with documents in a secure cloud archive. In this way, notices, evaluations and reports and all other documents are transmitted on a day-by-day basis and paperless. Our clients can access their data from anywhere. This saves them the hassle of archiving paper, letter mail and e-mails.

Of course, we meet the highest data protection requirements, which cannot be emphasized enough in times of increasing cybercrime. All data is stored securely and encrypted in certified data centers.

Both tools have proven themselves very well. Efficiency is simply more fun than redundant work with paper, both in the company and in the law firm.

For years, we have also relied on the proven specialist software of the market leader DATEV for our client support. I would like to mention this here, as it has many advantages.

In which areas does the use of the tools make particular sense?

They can be used in all areas of tax consulting and auditing, where they provide enormous increases in efficiency.

However, the effect is particularly noticeable in the area of payroll accounting.

Files and documents no longer have to be sent back and forth. Long mail delivery times and postage costs are avoided, and paper consumption is also reduced enormously.  Unencrypted e-mails, which are a major problem in terms of data protection, are eliminated. Clients have an overview of their data at all times and can access it from anywhere. Business owners can assign access rights so that only certain employees are authorized to view certain data. This way, important documents never fall into the wrong hands.

Via DATEV’s Employee Online tool, our clients receive the wage and salary statements for their employees digitally.

Thanks to all these improvements, payroll accounting is moving up the popularity scale in our client companies.

Which companies rely on your payroll support?

Small and medium-sized companies in particular like to outsource their payroll and financial accounting to us.

This has decisive advantages. The companies don’t need to hire a specialist for their accounting themselves, don’t have to invest in expensive software and can be sure that they are always up to date on the various topics.  

What has changed in the collaboration with your clients as a result of digitization?

The new possibilities make it easier for us to work together today, replace manual processes and save a whole lot of time, money and nerves.

This leaves more time for advising our clients. Digital law firms, like us, therefore benefit from strengthened contact with their clients, as we get to grips with the client’s processes. And that’s important, because the expertise of tax advisors, auditors and payroll experts is currently needed more than ever. Not only because tax laws are becoming more and more complex, but also because the tax advisor is increasingly becoming the client’s business advisor.

Our clients greatly appreciate this type of collaboration.

What will you be doing about digitization in the future?

There are a number of things going on. For example, we have fully digitized our outgoing invoices, and in the next few weeks we will also be making all our outgoing mail electronic.

In the future, all our letters will be created fully digitally and signed by us via a signature pad. Many clients then receive these documents directly via our T+P DokSafe, so that no paper is needed at all. Our clients will receive information by e-mail as soon as new documents are posted. By assigning different access rights, confidential documents can only be viewed by authorized persons.

Those who wish to do so will, of course, continue to receive a printout by mail.

In the next few weeks, we will be writing to all our clients to explain the many possibilities and advantages of T+P DokSafe.

Some clients are already working with it and we are getting a lot of positive feedback.
